Billing

Billing shows your ToolbagCRM plan, saved payment method, plugin-slot capacity, subscription invoices, and paid add-ons in one place. It also explains exactly what your account owes when a ToolbagCRM subscription payment fails.

Open Settings → Billing.

When to use Billing

Use Billing when you need to:

  • review your current plan, price, billing cycle, or next charge;
  • add, update, or remove the card ToolbagCRM uses for your plan and paid add-ons;
  • switch plans, apply a promo code, or schedule a paid plan to move to Free;
  • buy or stop renewing paid plugin slots;
  • pay an outstanding ToolbagCRM balance; or
  • review subscription invoices and account-level add-ons.

Before you start

  • Changing plans, payment methods, plugin slots, promo codes, or add-ons requires Billing write access. A teammate with read-only access can review the page but cannot submit those changes.
  • Paid plans, paid plugin slots, and paid add-ons require a card on file.
  • ToolbagCRM subscription charges are separate from payments you collect from customers. Customer payment processing is managed through the invoice and Stripe workflows.

What the Billing page shows

The page is organized into these sections:

  • Your plan — the current plan, status, monthly price, billing cycle, next charge, included plugin capacity, and plan features.
  • Change plan — the plans available for self-service changes.
  • Promo code — applies an eligible code only when it improves your current price.
  • Payment method — the card used for your plan, wallet top-ups, usage-billed features, and paid add-ons.
  • Plugin slots — included, paid, and in-use capacity, plus paid-slot renewal controls.
  • Invoice history — ToolbagCRM subscription invoices when the account has any.
  • Customer payments — account-wide customer-payment controls that are separate from your ToolbagCRM subscription.
  • Add-ons — account-level extras such as Hide ToolbagCRM branding when available.

If ToolbagCRM cannot load your plan or available plans, it keeps plan-changing controls unavailable and shows a retry option instead of guessing at the account state.

Founders free first month

If your workspace has not used the Founders offer before, switching to Founders starts a one-time free month. Billing shows Free, the date the free month ends, and the price afterward: $150/month plus the plugins you keep. A saved card is still required before you switch.

During that month, every currently installable non-AI plugin is included without slot charges or a plan limit. AI plugins are excluded. The Plugin slots card shows the included-until date instead of the normal slot counters and hides the buy controls. Paid slots purchased earlier keep their normal renewal charge, and separately billed add-ons keep their normal terms.

When the free month ends, the Founders price and normal included-plugin allowance apply again. If more plugins remain enabled than the plan allows, ToolbagCRM shows a warning and gives you time to choose what to keep before add-ons are paused; their data and settings are not deleted. The free month does not restart if you later return to Free and switch back to Founders.

During the seven-day window before it ends, ToolbagCRM emails the account owner with the free-month end date, the plan price, renewing paid-slot charges, and how many enabled plugins will no longer fit. Extra capacity is quoted separately instead of being charged automatically: add the capacity you want or turn off extras before the date shown. Extras left alone pause without losing data or settings.

The first paid bill is due when the free month ends. If that payment fails, the owner receives one notice and has one day to pay before the workspace moves to Free. Later missed payments keep the normal pay-by date shown in Billing.

For example, if the free month ends on February 1 and that first paid bill fails, pay by February 2 to keep Founders. This one-day window applies only to the first bill after the free month.

Handle a failed subscription payment

When a subscription payment fails, Billing shows Your payment didn't go through, the exact balance, the months included in What you owe, and a pay-by date.

Your workspace remains available through that date. Pay the balance before the deadline to keep the paid plan. If it is still unpaid when the displayed deadline arrives:

  • the workspace moves to the Free plan instead of being locked;
  • paid add-on plugins turn off;
  • stored business data and plugin settings are not deleted; and
  • the unpaid amount remains due.

Select Pay $X.XX now to charge the card on file only for the displayed balance. If no card is saved, select Add a card to pay first. Paying after the account has already moved to Free settles the balance but does not restore the former plan or add-ons; choose a paid plan and re-enable the add-ons you still want afterward.

ToolbagCRM also emails the account owner about a failed payment. Normal payment windows use reminders that identify the amount, pay-by date, and result of missing the deadline. A failed first bill after the Founders free month uses one notice with the one-day pay-by date.

Change plans when a balance is owed

A paid plan change collects an outstanding balance before applying the new plan. The confirmation lists separate lines for the past-due month and the new plan, followed by the total. Nothing is charged until you select Confirm and pay.

If the balance or plan price changes before confirmation completes, ToolbagCRM leaves the plan unchanged, reloads the current figures, and asks you to review the updated total again. If the balance cannot be collected, the paid plan change is not applied.

Switching to Free does not add a new paid charge. When you schedule a paid plan to move to Free, the paid plan and add-ons remain active through the date shown in Billing. Use Keep my plan before that date to cancel the scheduled move.

Manage the payment method

Under Payment method:

  • select Add card when no card is saved;
  • select Update to replace the card used for future charges; or
  • select Manage / remove to open the supported payment-method management flow.

After changing a card, return to Billing and confirm that the expected card is shown before retrying a balance payment or another paid action.

Manage plugin slots

The Plugin slots card shows:

  • Included — slots bundled with the current plan;
  • Paid — extra slots already bought; and
  • In use — active plugins currently occupying slots.

Use Buy more slots to add capacity. If an outstanding balance must be collected with a net-new slot purchase, Confirm your charges lists the past-due balance, the slot charge, and the total before anything is charged. A declined balance payment leaves the new slot unpurchased.

Use Stop slots renewing for unused paid capacity. A stopped slot remains available through the current billing cycle, then expires at renewal.

Manage paid add-ons

Enabling a paid add-on while a balance is owed uses the same itemized confirmation: the dialog shows the past-due balance, one month of the add-on, and the total. The add-on stays off when collection fails. Turning off an existing add-on does not require collecting the balance first.

The Hide ToolbagCRM branding control removes the powered-by footer from supported ToolbagCRM and customer-facing pages.

Tips

  • Treat the pay-by date in the balance banner as the deadline for preserving paid-plan and add-on access.
  • Review every line in Confirm your charges before approving a plan, slot, or add-on purchase.
  • Pay the displayed balance directly when you do not also need a new plan or add-on.
  • After moving to Free, either pay the displayed balance first or review the itemized balance-and-plan total when selecting a paid plan; then restore only the add-ons you still want.
  • Stop unused paid slots from renewing before the cycle ends instead of paying for empty capacity.

Troubleshooting

The balance changed while I was paying

Review the refreshed amount and confirm again. ToolbagCRM does not charge a larger total than the one you approved.

ToolbagCRM cannot confirm whether the payment completed successfully

Check the balance still shown on the Billing page before trying again. Do not immediately submit a second payment when the message says the first result is unconfirmed.

The card was declined

Select Update under Payment method, save a working card, then retry the balance payment. A failed balance collection does not apply the new paid plan, slot, or add-on.

I paid the old balance, but the former plan did not return

Paying a balance after the deadline settles what was owed; it does not restore a plan or add-ons that already moved to Free. Choose the paid plan again, then reinstall or re-enable only the add-ons you still need.

Billing controls are disabled

Ask an account administrator to grant Billing write access. Read-only users can review plan and balance information but cannot charge the card or change account billing.
