Documents & Photos

Keep customer and job files together in ToolbagCRM. Use Documents & Photos for job-site pictures, signed forms, contracts, and other attachments that your team needs to find later.

Before you start

  • Documents & Photos must be available to your account. An administrator can manage it under Settings → Features.
  • Your role needs Documents read access to view and download files, and Documents write access to upload or delete them.
  • Have a customer or job ready to attach the file to. Each upload needs at least one of those associations.
  • A file must be 25 MB or smaller.

Upload a file

  1. Open Documents & Photos from the navigation. If you are working from a job, open its Documents section instead; the file will be attached to that job.
  2. Select Choose file and pick the photo or document.
  3. If you opened the general Documents & Photos page, choose Attach to customer, Attach to job, or both. From a job, the job is selected for you.
  4. Optionally enter a Category, such as Contract or Site photo, to help identify the file in the list.
  5. Select Upload document. Wait for the list to refresh and confirm that the file appears before leaving the page.

The list shows each file's name, category, type, size, upload date, and—in the general view—the related customer or job. Select a related record to return to it. On a phone, the same files appear as cards rather than a wide table.

Find and download a file

Open Documents & Photos to see files you can access, or open Documents from a job to see files for that job. Select Download on the file you need. If the download fails, retry from the list; if the problem continues, ask your account administrator to check access and file storage.

Technicians whose job access is limited to assigned work must open Documents from an assigned job on My Day. The general Documents page does not show them an account-wide file list. If Documents aren't available to you appears, ask an administrator to review your Documents permission.

Delete a file

Select Delete beside the file, review the confirmation, and confirm only if it should be removed for everyone. Deletion permanently removes the file and cannot be undone. Download a copy first if your team needs to retain it.

Troubleshooting

Upload document stays unavailable

Choose a file and attach it to a customer or job. If the file is over 25 MB, choose a smaller file. If you can view files but cannot upload, ask an administrator to check your Documents write access.

The list is empty or won't load

An empty list means no files are attached in the current view; a job view shows only that job's files. A load error is different—select the retry action before assuming files are missing. If you have assigned-job access, open the relevant job from My Day instead of using the general page.

Upload failed

Check your connection and retry. If it fails again, confirm the file size and the chosen customer or job, then ask your account administrator for help. Do not assume an unsuccessful upload is saved.
