Pricing Catalog
Use Pricing Catalog to keep reusable prices for materials, labor, services, equipment, and fees in one place. Your team can use catalog items when preparing quotes and invoices instead of re-entering common work. Review each item's cost and price before offering it to a customer; the catalog does not replace a quote or invoice.
Before you start
- Open Pricing Catalog from the main navigation. You need Pricing Catalog access to view it and write access to add, edit, disable, or delete items. Ask your administrator if an action is missing.
- Decide on a unique SKU (item code) and a clear name for each item. An item cannot be saved without both.
- If you have permission to change catalog settings, select Settings on the Pricing Catalog page to set the default item kind, unit, and markup for new items. Changes to these defaults do not rewrite existing items.
Add an item
- Select New item.
- Enter a SKU and Name, then choose Material, Labor, Service, Equipment, or Fee.
- Enter Unit cost and Unit price, and check the unit (such as
ea). The form displays the estimated margin as price minus cost, and margin percentage as that difference divided by price. A zero price shows a zero margin percentage. - Optionally add a description, category, trade tag, and photo. If your account uses Tiered Packages, you can enter prices for the configured tiers; a blank tier price means that tier has no item price, not a price of zero.
- Check whether the item should be Active. If catalog tax settings are enabled, you can also set whether the item is Taxable. Select Create item.
If you enter a cost but leave the price at zero for a new item, the form proposes a price using the catalog's default markup. Review that proposed price before saving. Editing an existing item does not automatically recalculate its price.
Photos must be PNG, JPEG, or WebP files no larger than 5 MB. If a photo upload fails after an item is created, check whether the item was saved before trying again; do not create a duplicate.
Find and maintain items
- Search by name, SKU, or description. Use the All, Material, Labor, Service, Equipment, and Fee filters to narrow the list.
- Inactive items are hidden by default. Select Include inactive to find them, then Enable to make one active again.
- Select Edit to update an item's details or price. Check any customer-facing quote or invoice separately; do not assume changing a catalog item updates a document already created.
- Select Disable when an item should no longer appear among active catalog items but you want to keep its record. Delete removes the catalog item after confirmation. Use Disable if you may need it again.
The cards above the list summarize the active items, categories, and average margin in the currently displayed items; filters and the inactive-items checkbox can change those figures. For an individual item, margin percentage is based on that item's unit price and cost, not on total job profit.
If something does not work
- New item is unavailable: Your role may not have Pricing Catalog write access, or catalog settings may still be loading. If loading fails, use the page's retry action.
- The SKU is already used: Choose another SKU or edit the existing item. Each SKU must be unique.
- A price is rejected: Check for a negative or invalid cost, price, or tier price. Required SKU and name fields cannot be empty.
- An item seems missing: Clear the search and kind filter; select Include inactive if the item was disabled.
