Dispatch Board
Dispatch Board is a real-time operational view of scheduled visits and crew assignments. Office staff and field leads can coordinate the day, spot unassigned or emergency work, and follow each worker's progress without creating a second schedule.
Open Dispatch Board from the main navigation.
When to use Dispatch Board
Use Dispatch Board when your team needs to:
- see the scheduled visits and crew assignments for a selected day;
- find visits that still need a crew assignment;
- identify emergency work quickly;
- dispatch or cancel an allowed crew assignment; or
- open the exact visit in Scheduling to reassign or manage it.
Before you start
- Create the job and schedule its visit first. Dispatch reads Visits from Scheduling and crew state from Work Assignments instead of maintaining a separate run sheet.
- Make sure dispatchers have access to Dispatch Board. Staff who schedule, reassign, dispatch, or cancel assignments also need Scheduling write access.
- The Schedule visit shortcut is available to staff with Scheduling write access and access to all jobs.
- Add emergency notification recipients under Dispatch Board → Settings if managers or dispatch leads should be notified when emergency work is dispatched.
Read the daily board
- Open Dispatch Board.
- Use the previous-day, next-day, Today, or date controls to choose the day.
- Review Visits, Crew assignments, Active assignments, Unassigned visits, and Emergency visits.
- Filter the board by All, Scheduled, Active, Unassigned, Completed, or Cancelled. On mobile, a visit whose crew assignments are all cancelled appears as Unassigned in All and Unassigned views so it can be reassigned.
- Review each crew lane. Visit cards show the job and customer, scheduled time, priority, visit status, work location when available, notes, and the crew assignment's current state.
Use Refresh board when you need the latest schedule and assignment state. The Updated time shows when the board last loaded successfully.
Schedule, dispatch, or manage a visit
Dispatch uses the canonical Visits and Work Assignments as its source of truth. The board presents assignment totals as Crew assignments and Active assignments:
- Select Schedule visit in the page header to open Scheduling for the day currently shown on the board.
- For an existing visit, select Reassign / manage visit to open that exact visit in Scheduling.
- When a scheduled assignment allows the transition and your permissions allow changes, select Dispatch to mark the crew assignment as dispatched.
- To end a current crew assignment, select Cancel assignment and confirm. The visit and the full assignment history are retained.
Available actions depend on the assignment's current state and your permissions. Continue managing the visit in Scheduling when Dispatch does not offer the needed action.
Settings
Open Dispatch Board → Settings to choose who receives emergency dispatch notifications. Company-wide Dispatch settings require Dispatch write access.
- Enter a valid email address under Add recipient.
- Select Add. Repeat for each recipient.
- Remove addresses that should no longer receive notifications.
- Select Save changes.
Tips
- Treat Scheduling as the calendar and Dispatch as the live operational board; changing the date or crew in Scheduling updates the same visit shown in Dispatch.
- Start with Unassigned and Emergency visits so urgent gaps are visible before crews leave.
- Use Reassign / manage visit instead of creating a duplicate record when timing or crew changes.
- Review the Updated time and use Refresh board before acting on a board that may have been open for a while.
- Cancel only the crew assignment that should end. The confirmation preserves the visit and its assignment history.
- Keep emergency notification recipients current when office managers or dispatch leads change.
Troubleshooting
The dispatch board could not load
Check your connection and select Try again. If a previously loaded board remains visible, select Retry or Refresh board before relying on its assignments.
No visits match this view
Choose another date or select Clear filters. If the day has no visit yet, use Schedule visit to add one in Scheduling.
Schedule or assignment controls are missing
Scheduling write access is required to dispatch, cancel, or manage crew assignments. The page-level Schedule visit shortcut also requires access to all jobs. Ask an administrator to review your permissions if those controls should be available.
An assignment changed elsewhere
Dispatch reloads the latest board when it detects a conflicting update. Review the refreshed assignment state before trying the action again.
The board is read-only or shows retained records
A read-only or backup-board notice means assignment changes must be made in Scheduling. Retained legacy records are shown for reference and cannot be edited or deleted from Dispatch.
An emergency notification address is rejected
Enter a complete email address, select Add, and then select Save changes. Duplicate addresses are kept only once.
