Job Costing
Job Costing helps your office see how much revenue and cost is recorded against each job. Use it to spot work that is costing more than expected and to review profit and margin before making pricing decisions. Open Job Costing from the main navigation when your account has access to it.
Review the numbers
The overview shows this month's revenue, cost, profit, and number of jobs with entries. Job cards show revenue, cost, profit, and margin for each tracked job. Select a card to inspect its entries. Jobs without cost or revenue entries do not appear in the card list; use Add Costs to find a job and start tracking it. The job cards are paginated, so check another page if a job is not in the current view.
Profit is recorded revenue minus recorded costs. Margin is profit divided by recorded revenue; when revenue is zero, no margin percentage is shown. These figures reflect the entries in Job Costing, not every expense or payment in your business. The monthly totals use entries recorded in the current month, while a job card summarizes that job's entries. Check the recorded dates before comparing the two.
Record costs and revenue
You need Job Costing write access to add or change entries. Select Add Costs, search for a job, and open it. In the job details, select Add Entry. Choose the kind of entry—Labor, Material, Subcontractor, Equipment, Permit, Other, or Revenue—then enter a positive amount. Add a description and recorded date when useful, and save. The kind determines whether the amount adds to revenue or cost; do not enter a negative cost to represent a credit.
To correct an entry you added manually, open the job and select Edit. Remove asks for confirmation and permanently deletes that manual entry. Check its amount and description before confirming. Entries from another source, such as an invoice, are not editable or removable from this view.
Bring in invoice revenue
In a job's details, select Sync from invoices if you have write access. This brings eligible job invoices into Job Costing as revenue entries. Draft and voided invoices are excluded. Running the sync again does not add the same invoice twice; it also updates amounts changed on existing invoices and removes synced entries for invoices that are now ineligible. An invoice-derived entry is read-only here; review the underlying invoice if its amount is wrong. After editing or voiding an invoice, run the sync again and check the job's numbers.
Labor, materials, and subcontractor costs are not automatically brought in by this invoice sync. Record them as appropriate so the margin is not overstated.
Troubleshooting
- A job or number is missing: Check the page of job cards, search for the job through Add Costs, and look for entries in its details. A job with no entries is not listed in the rollup. Confirm that the entry's recorded date falls in the month you are reviewing.
- I cannot change an entry: Ask an administrator to check your Job Costing permissions. Only manually added entries offer Edit and Remove; invoice-derived entries are read-only here.
- The totals did not load: Use Retry if it appears. A loading or error state is not an empty set of financial records.
