Data & Account
Data & Account lets authorized account managers download the business's core ToolbagCRM records or submit an account-closure request for support review.
Open Settings → Data & Account.
When to use Data & Account
Use this page when you need to:
- keep an offline copy of core CRM records,
- prepare core records for review or migration, or
- ask ToolbagCRM support to review an account closure.
Before you start
- You need billing write access.
- Your role must have access to all Jobs and the full Team roster. ToolbagCRM hides this settings page and blocks exports for users whose record access is limited to assigned jobs or part of the team.
- Choose a secure location for the downloaded archive because it can contain customer, team, job, invoice, and payment records.
Download an account export
- Open Settings → Data & Account.
- Under Export core CRM data, select Download account export.
- Wait while ToolbagCRM prepares the archive. Your browser downloads a ZIP file when it is ready.
- Store the ZIP file securely and restrict access to people who are allowed to view business and customer records.
The ZIP archive contains separate JSON files for:
- customers and service locations,
- team members,
- jobs and visits,
- quotes,
- invoices and payments, and
- status history.
It also includes a manifest describing the export. The current archive covers core CRM data; plugin-specific records are not included.
Request account closure
Account closure is reviewed rather than performed immediately.
- Open Settings → Data & Account.
- Under Request account closure, add any details support should know.
- Type the business name shown beside the confirmation field. Request reviewed closure remains unavailable until the text matches exactly.
- Select Request reviewed closure.
- Review the confirmation dialog, then select Request closure to submit the request.
- Keep the displayed support ticket ID for follow-up.
ToolbagCRM support checks billing, legal-retention, and export requirements before records are removed. Download any records you need before requesting closure.
Tips
- Create a fresh export before a planned migration or closure review.
- Treat the ZIP file as sensitive business data; do not attach it to ordinary email or place it in a shared public folder.
- Verify that the downloaded archive opens before relying on it as a backup or handoff.
- Keep the closure-request note focused on timing, billing, and any records your business must retain.
Troubleshooting
Data & Account is missing from Settings
Ask an account administrator to confirm that your role has billing write access, access to all Jobs, and access to the full Team roster. Users with narrower record access cannot open this page.
Settings access is temporarily unavailable
If ToolbagCRM cannot check your permissions, it shows an unavailable message instead of treating the problem as an access denial. Select Retry to check your permissions again. If the page then says you are not permitted, ask an account administrator to review your role.
The export is denied
Account exports require both billing write access and account-wide Jobs and Team access. If your role was recently updated, sign in again and retry after the new access is applied.
The ZIP does not include a plugin's records
The current export contains core CRM records only. Plugin-specific records are not included in the archive. Contact ToolbagCRM support before a migration or closure if you need help retaining plugin data.
Request reviewed closure is unavailable
Type the business name exactly as shown beside the confirmation field. The button becomes available only after the text matches; then review the confirmation dialog before submitting the request.
The closure request does not delete the account immediately
This is expected. The button creates a support request for review so billing, retention, and export requirements can be checked first. Use the displayed support ticket ID when following up.
