Wallet
Wallet is a prepaid balance for usage-billed Premium plugins. Use it to add funds, choose how ToolbagCRM keeps the balance funded, review wallet activity, and optionally pay your subscription from the balance first.
Open Settings → Wallet.
When to use Wallet
Use Wallet when you need to:
- check the balance available for usage-billed Premium plugins,
- add funds from the card on file,
- keep the balance funded automatically,
- fund the wallet from eligible invoice payments, or
- review top-ups, usage charges, credits, refunds, and adjustments.
Before you start
- You need Wallet read access to see the balance and history.
- Adding funds, changing automatic funding, or changing subscription payment behavior requires Wallet write access.
- Add a card under Settings → Billing → Payment method before making a top-up or using automatic top-off.
- The minimum manual top-up is $5.00.
Add funds
- Open Settings → Wallet.
- Under Add funds, choose a preset amount or enter a Custom amount (USD).
- Confirm the card shown beside Charged to.
- Select Add $X.XX.
- Check the updated Current balance and History after the charge succeeds.
The amount is credited only after the card charge completes. The Add $X.XX button stays unavailable until the custom amount is at least $5.00 and uses no more than two decimal places. If there is no card on file, use Add a card before trying again.
Pay your subscription from the wallet
Turn on Pay my subscription from this balance to apply wallet funds to the subscription first each billing cycle. If the balance does not cover the full charge, ToolbagCRM charges the remainder to the card on file. Turn the setting off to bill the card instead.
Automatic funding
Both automatic funding options are off until you enable and save them.
Auto top-off
Turn on Auto top-off to charge the card on file when the wallet falls below a threshold.
Set:
- When below ($) — the balance that triggers a top-off.
- Top up to ($) — the target balance after the charge.
- Max / month ($, 0 = no cap) — the monthly safety cap; enter
0for no cap.
The target must be at least $5 above the threshold. When you set a monthly cap, it must be at least as high as the target.
Fund from job income
Turn on Fund from job income to add an extra platform fee to each invoice payment processed through ToolbagCRM and move that amount into your prepaid wallet until the balance reaches your ceiling. Cash and payments collected outside ToolbagCRM are not included.
Choose either:
- A percentage — greater than 0% and no more than 100%, or
- A fixed amount — a positive dollar amount per eligible payment.
Set Until balance reaches ($) to at least $200, then select Save funding settings. ToolbagCRM never moves more than the payment amount or more than the remaining room below the ceiling.
Review history
The History table shows each wallet entry's date, description, type, amount, and balance after the entry. Entry types can include top-ups, automatic top-offs, job funding, usage debits, credits, refunds, and adjustments.
Tips
- Set a monthly auto top-off cap if you want a firm limit on automatic card charges.
- Keep the top-off target far enough above the threshold to avoid frequent small charges.
- Review History after changing automatic funding so you can confirm how funds enter and leave the wallet.
- Use a job-income ceiling that matches the buffer your Premium plugins actually need.
- Turn off an automatic funding option and save the settings before changing how the account should fund future usage.
Troubleshooting
Add funds is unavailable
Ask an account administrator to confirm that your role has Wallet write access. If you can see Wallet but not its money controls, your role may have read-only access.
ToolbagCRM asks for a card
Open Settings → Billing → Payment method, add a card, then return to Wallet. Manual top-ups and automatic top-off both require a card on file.
A top-up does not complete
Confirm the amount is at least $5.00 and the card on file can be charged. ToolbagCRM does not credit the wallet when the card charge fails.
Automatic funding settings will not save
For auto top-off, make the target at least $5 above the threshold and keep any monthly cap at or above the target. For job-income funding, enter a positive percentage or fixed amount and set the ceiling to at least $200.
An invoice payment did not fund the wallet
Job-income funding applies only to invoice payments processed through ToolbagCRM. Cash and external payments are excluded, and funding stops when the wallet reaches the configured ceiling.
